What Am I Consenting To?
Administration and data protection
Dunning Scout Group uses software called “Online Scout Manager” (OSM) to manage data records, medical notifications and communication with parents, which is accessed via https://www.onlinescoutmanager.co.uk/
You will be sent a link to a private page where you will enter details for your child. It is your responsibility to ensure these details are kept up to date at all times. OSM and email is how Dunning Scouts will communicate with you, and how the Scout Leaders ensure any medical conditions etc. are managed. Please declare in detail on OSM any additional needs, medical conditions and allergies and information regarding safeguarding of your child. This information will be treated in confidence and will help the Group ensure your child’s time in Scouting is as fulfilling as possible.
Information will be held on computer and/or in paper format for the purposes of Scout Group administration. E-mail addresses provided will be used by the Scout Group with regard to Scouting. Your email address may be shared with other parents (to allow lift-sharing etc.). All information provided will be shared with the Scout Association as required e.g. for annual census returns. No information held by the Scout Group will be disclosed to any third party outside the Scout Association without your permission.
Events and activities
We follow Scout Association Policy, Organisation and Rules (POR) in everything that we do. Additional details on Scottish-specific POR can be found at https://www.scouts.scot/scottish-por/
Due to the accommodation arrangements at some camp sites, or gender ratios of participants, it may be necessary for mixed genders to share tents/dormitories. Where this option is required, your child will always have access to gender-segregated washing and changing areas.
If your child attends a Scouting meeting or event you are accepting that they will be taking part in the activities as arranged and your permission for them to take part is implicit by them attending. The same applies to you or other family members attending. All events and meetings will have a Risk Assessment.
For all sections this includes:
- meetings and events held in our own Scout HQ or any other stated location
- outside activities (examples include treasure hunts around the local village, games on playing fields)
- day trips and nights away
- fundraising activities
- Group District / Regional events
Use of images and sound recordings
Any photographs, moving images or sound recordings taken by the Scout Group during the time your child is with us may be used for publicity, communication or archive purposes for the Scouting movement. This may involve the media (such as a newspaper article) or social media (e.g. Facebook posts). We will never name your child individually in a published photograph without your explicit consent.
Gift Aid
By submitting consent on OSM you are confirming that you wish your membership fees and any donation you make in the future, or have made in the past four years, to be Gift Aided.
You are confirming that you are a UK taxpayer, and understand that if you pay less Income Tax and/or Capital Gains tax than the amount of Gift Aid claimed on all your donations in that tax year, it is your responsibility to pay any difference.
Please notify us if wish to cancel this declaration, you change your name or address, or no longer pay sufficient tax on your income and/or Capital Gains tax.
Wait List
Our waiting list policy is at scouts.dunning.rocks/wait-list.
Necker Deposit
You agree to pay a £10 deposit for necker, which is a key item of Scouts uniform awarded when being invested into Scouts. The £10 fee will be refunded when your child leaves Scouts in Dunning if the necker is returned clean and servicable.
